Practical guide · Managed File Transfer

From sent to processed. See the whole chain.

Orders, invoices or inventory updates: work can only continue once a file has been processed successfully. Start with one critical transfer and agree who checks each outcome.

  1. Sent

The transfer has an identifiable outcome.

  2. Received

The right file is in the agreed location.

  3. Validated

Format and content have been accepted or rejected.

  4. Processed

The receiving process confirms the business outcome.

Agree how to follow the same delivery through these steps. A delivery identifier and timestamps can help; implementation depends on the systems involved.

Four questions for your next team discussion

Start with the question that matters now. The articles provide detail; the worksheet below brings the agreements together.

01 · Evidence of processing

Sent, but where are the orders?

Identify which signal only confirms transport and which confirms processing.

Agreement: what evidence counts as done?

Read about sent versus processed

02 · Monitoring and ownership

Who acts when a file does not arrive?

An alert needs an agreed owner, response time and escalation path. Also monitor the absence of an expected delivery.

Agreement: who does what, by which deadline?

03 · Controlled recovery

Can you retry without duplicate work?

Check whether part of the file has already been processed. Then decide who can pause, resume or resubmit it.

Agreement: what must be checked before recovery?

04 · Suitable implementation

Is SFTP enough, or do you need more control?

First define scheduling, access, logging and recovery requirements. Use these to assess an appropriate implementation.

Agreement: which requirements must the solution demonstrably support?

Worksheet: agreements for one transfer

Complete this with the process owner, operator and receiving party. You do not need every answer: record an open question and the role that will investigate it. A documented agreement is not yet a tested implementation.

This worksheet does not send or automatically save your input. Save an editable worksheet to continue later. Use role names and process labels; omit customer names, personal data, accounts, addresses and keys.

1. Purpose and deadline

Which work depends on the file? When must processing finish, in which time zone, and what is the impact of a delay?

2. Evidence of processing

How do you link sending, receipt, validation and processing to the same delivery? Which signal confirms the business outcome?

3. Owner and cover

Which role oversees the chain? Who provides cover and who is the contact at the receiving end?

4. Alerts and escalation

How do you detect a missing, late or rejected delivery? Who responds, when, and to whom do they escalate?

5. Recovery and duplicate processing

Who checks what has already been processed, who can resubmit, and how is duplicate processing prevented or detected?

6. Access, evidence and review

Which roles need which permissions? Which records do you keep, who can access them, and when will you test and review the agreements?

Turn an open question into a next step

Joshua Boermans is your first contact to define the transfer and the questions to resolve. Specialist selection, migration or implementation can then be agreed with Korper. Scope, responsibilities and costs are discussed in advance.

Frequently asked questions

Do we need to buy an MFT platform immediately?

No. First identify the transfers, consequences of failure and operational requirements. Clearer agreements and improvements to the existing setup may be a suitable first step. Then assess whether a platform supports the required capabilities.

Can we automatically resend every failed delivery?

That depends on processing at the receiving end. Investigate partial processing and how duplicates are recognised. Test the recovery procedure with the parties involved before relying on it.

Is this worksheet the same as the MFT Scan?

The scan gives an initial indication of areas to investigate. This worksheet helps document agreements for one specific transfer. It provides no score and is not an audit or technical approval.
